Pipedrive - Dstny Conversational Intelligence
Getting Started
Prerequisites
- Admin or user access in Pipedrive to authorize apps via OAuth.
- Access to Dstny Conversational Intelligence with permission to manage integrations.
- Best Practice: Ensure people in Pipedrive have an email (preferred) or phone set for reliable matching.
Connect Pipedrive and Dstny Conversational Intelligence
- In DCI, go to Settings > Integrations > Pipedrive.
- Click Connect. You will be redirected to Pipedrive.
- Log in and allow Dstny Conversational Intelligence to create notes and activities.
- Once redirected back, DCI will show as Connected.

If you have multiple Pipedrive accounts, make sure you authorize the correct one.
How it Works
- Process: After your meeting ends, DCI generates an AI summary.
- Matching: DCI matches participants to Pipedrive Contacts.
- Creation: A Note (and optionally an Activity) is created in Pipedrive.
- Timing: Syncing usually happens within a few minutes of the meeting's conclusion.
What is Created in Pipedrive?
Pipedrive Note (HTML): Includes meeting name, participant list, a link to the DCI recording/transcript, manual notes, and the full AI summary.
Pipedrive Activity (Optional): If your DCI conversation type matches an existing Pipedrive Activity Type name, DCI creates an activity with the meeting name as subject, the AI summary as description, and details linked to person/deal including duration and due date.
If the Activity Type cannot be found or permissions don't allow activity creation, DCI will still create the Note but may skip the Activity.
Using the Integration
Where to find the summary
- On a Person: Open the Person record > Notes section (or timeline).

- On a Deal: Open the Deal record > Notes section.

- Activity: Open the Person or Deal > Activities tab/timeline.

Data Mapping
Person (Contact) Matching
- Primary (Email): DCI searches in Pipedrive based on the participant's email address.
- Fallback (Phone): If no email match is found, DCI searches for a matching phone number.
- If no person is found: DCI can create a new Person in Pipedrive using name, email, and phone from the DCI participant.
Note Linking (Person + Deal)
- The note is always linked to the matched Person record.
- If the meeting is already connected to a Pipedrive deal within DCI, the note is linked directly to that deal. Otherwise, DCI attempts to link to the person's most recently created deal.
Activity Type Mapping
DCI uses your meeting's conversation type name (e.g., "Demo" or "Discovery Call").
If a Pipedrive Activity Type exists with the exact same name, DCI will use it to create the activity. If no match exists, DCI will skip creating the Activity but the Note will still be created and linked as usual.
Troubleshooting
No note appears
- At least one receiver must match a Pipedrive Person by email or phone. If the receiver has neither, DCI cannot perform the match.
- The summary may still be processing. Wait a few minutes and refresh the Person or Deal page in Pipedrive.
Note is on Person but not on Deal
- The person may have no active or historical deals in Pipedrive.
- The meeting wasn't linked to a specific deal, so DCI couldn't confidently attach it. Open the Person record and verify there is an associated Deal.
Activity is missing
- There is no Pipedrive Activity Type that matches your DCI conversation type name exactly.
- Your Pipedrive account may have insufficient permissions to create activities.
- Fix: Create or rename an Activity Type in Pipedrive to match your DCI conversation type, then reconnect Pipedrive.
Wrong person matched
- Usually due to duplicate people or shared phone numbers in Pipedrive. Ensure email and phone values are unique and prioritize email-based matching.
Integration stopped working
- The OAuth access token may have expired or been revoked. Disconnect and reconnect Pipedrive within DCI settings.
What to send to Support
- The DCI session link (or session ID).
- The presenter's email.
- 1–2 participant emails/phones expected to match Pipedrive.
- Links to the Pipedrive Person/Deal where you expected the note/activity.
Disconnecting
- In DCI, navigate to Settings > Integrations > Pipedrive.
- Click Disconnect to revoke access.
Note: Any notes or activities already created in Pipedrive will remain as historical records and will not be deleted if you disconnect the integration.
Security & Privacy
- OAuth 2.0 Authentication: DCI uses OAuth to connect to Pipedrive, meaning we never see or store your Pipedrive password.
- Encrypted Data Transfer: All communication between DCI and Pipedrive is encrypted using HTTPS.
- Secure Token Storage: Your access tokens are encrypted and stored securely within our infrastructure.
- Data Sovereignty: Pipedrive only receives the summary text and a link back to DCI. Your actual meeting recordings and transcripts stay securely stored in Dstny Conversational Intelligence and are never sent to Pipedrive.
